Interlibrary Loan Borrowing and Lending

Borrowing Requests

The Interlibrary Loan borrowing service allows faculty, staff and students to borrow materials from other libraries if items are not held or available online at the University of Regina Library. Users must have a currently active library account to use the online interlibrary loan form; the 14 digit barcode from the card or your ID number is required to authenticate user status.

Create or Track ILL Request

Citation search using Quick Find

  • Search for a citation on the library home page, ensure the Quick Find tab is selected
  • Click Expand results beyond Library collection
    • Note, this will only populate journal articles that the library does not hold and not physical items, follow the directions for Request directly using the Interlibrary Loan Request form
  • Click the holdings of required citation
  • Click Interlibrary Loan Request (at this time this is visible without logging in, if this changes patrons will need to sign in first to their Quick Find account in order to access this link)
  • Log into the Interlibrary Loan Patron Portal
    • Log in using your Uregina Barcode or ID Number and last name as it appears on your ID card
  • Review the citation information and update any personal information if required, agree to terms of use and click Submit


Citation search using a library database

  • Perform a database search on the library home page, ensure the Databases tab is selected
  • Click on “Where can I get this?”, “Find Full Text” or “Look for a Copy”
    • If these options are note available follow the directions for Request directly using the Interlibrary Loan form
  • This will redirect you to Quick Find, click Interlibrary Loan Request
  • Log into the Interlibrary Loan Patron Portal
    • Log in using your URegina Barcode or ID Number and last name as it appears on your ID card
  • Review the citation information and update any personal information if required, agree to terms of use and click Submit


Request directly using the Interlibrary Loan form

  • Place a request directly using the Interlibrary loan request form
    • Log in using your Uregina Barcode or ID Number and last name as it appears on your ID card
  • Choose your request type: article, book, book chapter, conference, thesis
  • Enter the full citation details for your item, add any request notes. If you live outside of Regina select Delivery method Mail (outside of Regina), update personal information as required, agree to terms of use and click Submit
  • You can track your request status though this log in link

Request Status, Notification and Delivery

  • You can access all request information by logging into your Interlibrary loan account
  • All notifications will be sent to the email address that is was used when placing your Interlibrary Loan request. By default this is your @uregina.ca email account, users will be notified by email when a request is placed, when it arrives (physical item or a link to the pdf), or if it is cancelled
    • Check your spam/junk folders if you do not receive any email notifications
  • Delivery times for physical items is a minimum of 1-2 weeks, and can vary depending on shipping method, location and other factors outside of the libraries control
  • Delivery times for articles or book chapters is approximately 2-5 days, a link will be sent via email that is available for download for 10 days and can be accessed 5 times; it is recommended to save or print a copy of the PDF
    • If a license term requires that only a print copy be supplied to the end user, a pickup notice will be sent by email and the copy will be held at the User Services Help Desk in the Archer Library

Loans, Renewals, and Fees

  • Loan periods for Interlibrary Loan materials are set by the lending library. The usual loan period is 4-6 weeks from the date of arrival in the library. The due date can be found on the book band
  • Renewals are at the discretion of the lending library
  • If the lending library does not allow renewals it is clearly indicated on the yellow book band on each item as "No Renewal"
  • Renewals must be requested at least 3 days before the due date indicated on the book band
  • Place a renewal request through your Interlibrary loan account, after log in, find the request and click renew, when an item is renewed you will receive a due date confirmation via email, renewal lengths vary based on the supplying libraries policies, if no renewal email is received the item remains due on the original due date and is subject to fees
  • Interlibrary Loans are subject to Fees:
    • Faculty, Staff, Students: No Charge for loans
    • Alumni and Community Borrowers: $25.00 per loan
    • Lost or Damaged Items: Fee of $150.00/item will be applied to your library account
      • Items are declared lost 32 days after their due date
      • After 60 additional days, outstanding lost or damaged charges on patron accounts will be transferred to Financial Services for collection. Financial Services will block registration, convocation, and release of credits until outstanding fees have been paid.
      • No refunds will be given after fees are paid on your library account or transferred to Financial Services - to pay a fee on your library account see Online Payment of Fines and Fees

Item Pick Up and Return

  • Most requested articles will be delivered via email
  • You can pick up all other requested materials at the User Services Help Desk in the Archer Library during regular hours
  • All Materials can be returned at the User Services Help Desk in the Archer Library or through the book drop outside of the library
